Teammates are unlimited during launch. Post-launch teammate limits have not been announced.

OCostCook workspace
Owner

Manages billing and recipe publishing, archiving and restoration.

MCostCook workspace
Manager

Manages setup and invitations; reviews Sage shopping-list drafts.

SCostCook workspace
Staff

Works from the shared kitchen record without the manager-only Sage or owner-only controls.

A role is a boundary, not a badge.

Give each teammate their own sign-in.

Invite people to your kitchen account by email. CostCook checks their role when they try an action reserved for an Owner or Manager.

What each role adds.

Staff use the shared kitchen records. Managers can also do the management tasks below, and Owners can do both plus the Owner tasks.

Owner

Workspace access
Everything a Manager and Staff member can access.
Protected work
Manage billing; publish, archive and restore recipes; manage Square when that connection is enabled.
Boundary
Owner-only actions stay with the workspace owner.

Manager

Workspace access
Everything a Staff member can access.
Protected work
Complete kitchen setup; invite and revoke teammates; ask Sage about price moves; review Sage shopping-list proposals.
Boundary
Billing, recipe publishing, archiving and restoration stay with the Owner. Square controls apply only when that connection becomes available.

Staff

Workspace access
Open the shared operational workspace, including cost screens.
Protected work
Use day-to-day kitchen records and ask Sage the questions available to Staff.
Boundary
Manager- and Owner-only actions remain unavailable.

What this is not.

CostCook does not let you hide one screen, expose one field, or assemble a custom role. If a cook must receive a prep list without being able to open costs, that boundary is not available today.

If hiding costs is essential, CostCook is not the right fit today. If you want to check your setup before deciding, book a 15-min demo.

Questions to settle first.

Check cost visibility, invitations and role limits before adding your team.

Can I hide food costs from a cook?

No. CostCook does not have per-screen permissions, so a workspace teammate can open cost screens. The role boundaries protect specific sensitive actions, not every view.

Can I build a custom role?

No. The available roles are Owner, Manager and Staff. There is no permission builder for individual screens, fields or actions.

What role does a new invitation receive?

Invited teammates join as Staff today. Invitations are not a self-service path for building a custom manager role.

Are restricted actions actually blocked?

No. CostCook checks your role when you try a restricted action, even if you follow a direct link.

Invite the crew knowing what they can see and do.

Bring the people who run the week into one workspace, and keep the sensitive work attached to the role that should carry it.
