Illustrative counts. Each stage reads the same confirmed event while keeping its own progress.

Eight hotel pans prepped. Seven in the van is still one pan short.

Prep can be complete while pack-out is not. The handoff needs its own visible check, tied back to the event everyone agreed to run.

The source

Hold the event steady for the crew running it.

Confirming an order freezes the menu, date, guest count, plan, math, and money together. That preserves the commitment while later prices can move.

Group the list by supplier or kitchen section. Keep the working on each line, save checks, and carry a left-to-grab count on the phone.

What leaves the shelf becomes two different promises.

Prep follows the notes saved at confirmation. Pack carries food, equipment, and allergen context, then keeps the last open line visible at the loading door.

When the plan moves, the checks tell the truth.

Changed work, an older confirmed plan, and an incomplete pack close keep distinct states. Each one preserves what is safe and names the next action.

21shipped capabilities

See all 21 shipped capabilities
  • Costed before commitment. A new order is a menu, a date, guests, and a price, estimated live as you set it up.
  • Three tabs, one plan. Shop, Prep, and Pack all read the same computed plan.
  • Pinned money bar. The numbers stay on screen while you work, and guest-count changes autosave quietly.
  • Confirm freezes everything. Confirmation saves the plan, calculations and quoted price together. Later price changes do not rewrite that quote.
  • Honest reopen. Reopening keeps the frozen prices and says so. Once purchasing starts, reopening is refused.
  • Clean duplication. Copy an event into one draft. A double-tap cannot make two.
  • Shelf check. Enter the ingredients and prepared batches you have on hand for this order.
  • Buy math shown. Every buy line can show need, on hand, pack size, and packs.
  • Vendor grouping. The shopping list groups by supplier and by kitchen section.
  • Durable check-offs. Checked items stay saved. If the plan changes, affected items need checking again.
  • Walk-in mode. On a phone, a running left-to-grab footer follows you through the list.
  • Printable lists. Shop, prep, and pack print clean: controls gone, hints kept, columns aligned for a clipboard.
  • Leftover nudges. Likely left about a quart, from your recent orders. One at a time, dismissible.
  • Quoted vs today. Confirmed orders compare the frozen quote with current prices, and say when they cannot.
  • Event cost, after. Compare the confirmed quote with purchases recorded against the event. Differences below the configured dollar threshold are not highlighted.
  • Shortfall evidence. Pack lines left open at close become reviewable evidence: short, packed, or not sure.
  • Aged plans flagged. An old frozen plan is marked old. It is never silently recomputed.
  • Per-order equipment. Hide a template line or add a one-off for this event. The menu template never changes.
  • Allergens at pack-out. Pack lists carry allergen badges.
  • Orders hub. Filter, search, and read food-cost and status badges across every event.
  • Frozen prep notes. Draft orders use the current prep notes. Confirmed orders keep the notes saved when you confirmed.

Frequently asked questions

The practical questions behind taking one confirmed event from the first buy line to the last item in the van.

Do Shop, Prep, and Pack use the same order?

Yes. All three read the computed plan for the event. Confirming the order freezes the plan, math, and money together so the working day keeps the commitment you made.

Can the shopping list use what is already on hand?

Each buy line can show need, trusted on hand, pack size, and packs. Order-scoped shelf checks keep the decision attached to this event rather than changing a shared number behind another plan.

What happens when the plan changes?

Checks stay saved to the order. A plan change clears only the checks it made stale, so completed work is not erased without reason and outdated work does not stay checked.

Can the crew print the lists?

Yes. Shop, Prep, and Pack print without controls, while useful hints remain and columns align for a clipboard.

What does Pack carry besides food?

Pack includes per-order equipment, lets you hide a template line or add a one-off, and carries allergen badges for the dishes leaving the kitchen.

Close the van on the same plan you priced, shopped, and cooked.

Bring one real event. Follow it from menu and guest count to the final pack line.
