What CostCook plugs into today, and what it doesn’t yet.
Card payments run through your own Stripe account, and suppliers can email their invoices straight in.
Coming Square and QuickBooks Online are built and being tested, but can’t connect a real account yet. They aren’t in the trial, and there is no date.

None of this needs your suppliers to connect to anything.
Working today, in the trial.
Each one does one job.
Getting paid for the event without chasing it.
Card payments, through Stripe
Connect Stripe in Settings. The client gets a pay link by email for the deposit and the balance, pays on Stripe’s page, and the money goes into your own Stripe account. An online order pays the same way when your booking rules ask for money.
CostCook doesn’t save cards or refund on its own. Refunds go out from Stripe.
Events & proposalsGetting supplier invoices in without typing them.
Invoice email
Your kitchen gets its own private address. Suppliers send invoices there, or you forward them from Gmail. Each one waits in review.
Nothing counts until you check it.
Invoice emailA signed contract before the event is booked.
E-signature for the agreement
The agreement starts from your saved contract template, with the accepted proposal attached as Schedule A, and goes out for e-signature. Or keep a copy signed on paper.
The event books once everyone has signed, or when you book anyway and write down why.
Events & proposalsPrices in, with no connection to your supplier at all.
Spreadsheets, PDFs and photos
An order guide, a price sheet, an invoice or a photo of a delivery slip goes through one queue: JPEG, PNG, WebP, PDF, CSV, XLSX or DOCX, or paste it.
Each one waits in review until you confirm it.
Invoices & price-list import
Next: the two that aren’t ready.
Square, for the counter.
ComingA café counter, a market stall or a meal-prep pickup: food you sell at a register as well as at events.
You can’t connect a Square account today, and there is no date. Here is what it does in testing.
01
Connect Square
The owner signs in to Square from Settings > Integrations. Connecting is not publishing: nothing goes to the register yet.
02
Publish the dishes you pick
Choose the dishes, match each one to a new or existing Square item, check the name, description, price and locations, then publish.
03
Sales come back
Completed sales and refunds from the register come into CostCook. A sale is never turned into an order.
04
Read Counter sales
What sold at the register, what it cost to make at today’s prices, and how much to cook to do it again.
Ingredients, allergens and stock quantities stay in CostCook.
If you only book catering events, you can skip this integration.
What it doesn’t do
- It doesn’t take stock off your shelf. Counts stay yours.
- It doesn’t turn a sale into an order or a purchase.
- It isn’t a payout or profit report. The cost is today’s recipe cost, not what you paid back then.
Next: QuickBooks Online.
QuickBooks Online, for the books.
ComingFor whoever keeps the books: the supplier invoices you already checked don’t get typed in a second time.
You can’t connect a QuickBooks company today, and there is no date. Here is what it does in testing.
01
Connect your QuickBooks company
The owner signs in to QuickBooks Online from Settings > Integrations.
02
Pick where purchases go
Choose the QuickBooks account for food and ingredients, and the one for fees on invoices. CostCook never creates an account.
03
Match your suppliers
Each CostCook supplier is matched to one QuickBooks vendor.
04
Send each invoice you have checked
Press “Send to QuickBooks as a bill” on one invoice, or send several at once. Supplier credits go the same way.
CostCook never pays a bill, or sends the same invoice twice.
What it doesn’t do
- Nothing goes to QuickBooks until someone presses Send. There is no automatic send.
- It never changes your invoice in CostCook. It only reads back whether a bill is paid.
- It doesn’t let a manager or staff send bills. Only the workspace owner can.
Next: label printers.
Label printers, connected directly.
ComingLabels print today from the prep and pack lists through your browser’s print dialog, onto sticker sheets or thermal rolls you set up once in Settings.
A direct connection to a label printer, so a label goes straight to it without the print dialog, is planned. It is not built yet, and there is no date.
Today
- For now, every label prints through the browser’s print dialog.

Next: questions.
Questions about connecting your tools.
Can I connect Square or QuickBooks during the trial?
Not yet. Both are built and being tested against Square’s and Intuit’s test accounts. Neither can connect a real account today, and I am not promising a date. When one can, this page and its guide will say so.
Do I need a connection to get supplier prices in?
No. A price sheet, an invoice or a photo of a delivery slip goes through the same review, and invoice email takes what your suppliers already send.
Who can connect Stripe, Square or QuickBooks?
Only the workspace owner. The app says so on the Stripe button, and the Square and QuickBooks test builds work the same way. An owner or manager can set up invoice email.
Does CostCook hold the card money?
No. The client pays on Stripe’s page and the money goes into your own Stripe account. Refunds go out from Stripe too.
I use something that isn’t here.
Tell me on the 15-minute call. I would rather hear what you run than guess.
Start on what works today.
If you take card payments, connect Stripe. To receive supplier invoices by email, give your reps your kitchen’s invoice address. Your costs don’t wait on Square or QuickBooks.
